Flows, campaigns & approvals
Flows and campaigns organize your email work. What approval does depends on where you’re working: Shopify Admin or the standalone MailPanda workspace.
Flows — emails that send themselves
A flow is an automatic email (or short series) triggered by something a customer does. Once configured and activated for delivery, it can keep working after its initial approval:
- Welcome series — introduces your brand when someone subscribes
- Abandoned checkout — a reminder about an unfinished checkout
- Post-purchase — a thank-you or follow-up after an order
Campaigns — one-off sends you schedule
A campaign is a single email to your list on a date: a launch, a sale, a seasonal moment. MailPanda keeps a rolling calendar of campaign ideas planned around your products and the time of year, and designs each one for your review.
Shopify Admin — plan, generate and review
The current staging embedded preview supports creating campaign and flow plans, generating supported designs, reviewing saved emails and editing permitted copy. In Campaigns or Flows, choose Create campaign plan or Create flow plan, then Review plan before saving. A campaign’s planning date is not a send schedule. Saving a plan does not generate or send emails.
Generation is a separate confirmation: use Generate campaign design or Generate planned emails when available. Review the resulting email before choosing Approve this design.
Approval in Shopify Admin is an acknowledgement
Approve this design records your acknowledgement of the current reviewed design. It does not publish to Klaviyo, queue delivery, activate a flow or send messages.
In this staging preview, open Integrations and choose Connect Klaviyo before publishing. For supported work with a current approval, choose Review draft publishing, check the destination and supporting records, then choose Confirm draft-only publishing. Publishing creates Klaviyo drafts; it does not activate, schedule or send messages. Billing is available through the staging manual test-plan workflow. Available actions also depend on your access and the design’s current state.
Approvals in the standalone workspace
In the standalone MailPanda workspace, open Approvals to review emails and requests awaiting your decision. Check the action’s confirmation:
- Approve it — depending on the workflow and your setup, approval can finalize a design, publish into Klaviyo as a draft, or queue a configured send in MailPanda’s own sending. A Klaviyo draft is not a sent email.
- Ask for changes — click the part you want changed, or just type it in the chat: “use the blue product shot”, “shorter subject line”, “less salesy”. MailPanda revises and brings it back.
Revision time varies with the requested changes. You can go ahead and leave this tab while MailPanda works, then check the request and review the updated design when it is ready.
Where to find it in the standalone workspace
- Approvals — the Notifications bell in the top-right is the standing place to look: it shows a count when something needs your yes, and opening it has an Open approvals hub link. You can also reach the hub any time from your name in the bottom-left corner → More tools → Approvals (on a phone, the More tab).
- Flows — in the left sidebar: every automatic email and its status.
- Campaigns — in the left sidebar: the calendar of upcoming one-off sends.
Does approving a design start sending?
Not in Shopify Admin: design approval does not start a send. In the standalone workspace, check the publishing and scheduling settings for the action you approve. An activated flow can continue sending after its initial approval.
I approved something and changed my mind
If you approved a design in Shopify Admin, that acknowledgement has not published or queued it. For standalone work, if it published to Klaviyo as a draft, edit or delete the draft in Klaviyo — nothing has been sent yet. If it’s a scheduled campaign, open it in Campaigns and unschedule it before the send date. And if something did go out that shouldn’t have, message us in the chat bubble right away and we’ll help you assess and follow up.
